How accounts are created, how members get in, and what each role can do.

## The operational problem

Frontline operations rarely give the same person every kind of access. A site manager needs the roster and the rewards ledger, not the billing page. A recruiter needs jobs and candidates, not goal configuration. When everyone has the same login, sensitive work is one click from the wrong hand, and audit trails fall apart.

## How Array HQ solves it

Access is scoped two ways: by **organization** (which sites or units a member can open) and by **role** (what they can do account-wide). New members are invited by an Admin with a role and organization assignment. Roles are editable later without recreating the account.

## How it works

### Account creation

Array HQ provisions your account at the start of the relationship. The initial account contact is set up by Array; member invites are self-serve from there.

### Roles

When you invite platform users, you choose from three roles:

| Role | Sees | Does |
|---|---|---|
| Admin | Operations and billing across assigned organizations | Manage members, configure goals, run both products, view and manage billing |
| Ops | //Ops in assigned organizations | Run //Ops day-to-day |
| Recruiting | //Recruiting in assigned organizations | Run //Recruiting day-to-day |

**Team Members** are frontline workers on the //Ops roster. They are not invited through **Administration → Members** — they get access through the roster onboarding flow and use the My Array HQ app.

### Logging in

Members log in to the operator portal at **[app.arrayhq.com](https://app.arrayhq.com)**. Team members on the roster use the My Array HQ app at **[my.arrayhq.com](https://my.arrayhq.com)**.

## How to get access

### Platform members

For Admins, Ops, and Recruiting users who need the operator portal:

1. Ask an Admin on your account to send you an invitation. Invitations expire after 14 days; any Admin can resend one from the Members list.
2. Open the link in your invitation email and confirm your identity.
3. Set a password. You'll land in the operator portal.

### Team members

Frontline workers are added to the //Ops roster — not through member invites. Once on the roster, they receive a welcome text with a link to the My Array HQ app. See **[Login (Talent)](../talent/login.md)** for the worker-side setup.

## How to invite a member

Admins invite platform users from **Administration → Members** in the operator portal:

1. Click **Invite member**.
2. Enter their **email**, **role** (Admin, Ops, or Recruiting), and the **organizations** they should access.
3. Click **Send invite**. They set up their own access from the link.

## How to change or deactivate access

- **Change a role.** Don't re-invite. Open the member from **Administration → Members** and change the role — effective immediately, everywhere they have access.
- **Deactivate a member.** Open the member and deactivate their account. Their historical data stays attached for audit.

## What you'll be able to do

- Invite a recruiter who sees only //Recruiting in their organizations.
- Promote a Team Member to Ops without a new account.
- Deactivate a member immediately when someone leaves — without losing historical data.
